Manage your Purchase Orders

You've sent out your purchase orders, so the next step is to verify what you ordered was actually received.

What does receiving mean? 

When you issue a purchase order to a vendor, they will package and ship those items to you. Receiving is taking count of the items you received, and adding them to your Listing Mirror quantity. 

How do you receive a Purchase Order?

To receive a Purchase Order (PO), you'll need to have issued one first. Learn how to do that in our Purchase Orders article. 

Once the PO has been issued, and the shipment is in your hands, you'll want to receive it.

1. Go to Inventory > select Purchase Orders from the menu: 

 

2. Click on the Purchase Order number:

 

3. In the Purchase Order, enter the quantity received for each SKU in the Received box:

4. Click Save Purchase Order. Even if you haven't yet received all items in the purchase order, you can enter what you have received and save. 

 

On the Purchase Orders page, the status should now show as Received:

This purchase order will be available to edit by clicking on the PO Number as you receive more items from shipment, or if you've received everything on the purchase order, you can complete it.

Complete a PO

You can complete a PO even if you haven't 'received' everything on the PO, for example if a vendor only had 8 available to send of a SKU but you ordered 10, just receive 8.  

In the purchase order's Status box, click the Complete PO button: 

⚠️ Once you complete a PO it's closed for good. This means it won't show up on your PO list, and it cannot be reopened. This is the last step of the Purchase Order workflow.

Purchase Orders should not be closed until you're certain you're done with it. 

View Completed POs

To view Completed purchase orders, click Advanced Search > select Completed from the Purchase order status menu > click Search

You will now see a list of completed POs. To see the details of the PO, click on the PO Number. To download a PDF of the completed PO click on View under PO History:
