How do I use Order Tags?

When your order volume grows, finding the right order at a glance gets harder. Order Tags let you attach colored, custom labels to any order so you can group, spot, and act on the orders that matter to you — without changing anything about how those orders are processed.
What Are Order Tags?
Order Tags are short, color-coded labels you create and apply to your orders inside Listing Mirror. Think of them as sticky notes you can stick onto any order, for any reason. Common ways our customers use them:
- Workflow status: "Needs Review," "Awaiting Payment Confirmation," "Customer Contacted"
- Customer flags: "VIP," "Repeat Buyer," "Wholesale"
- Fulfillment notes: "Custom Packaging," "Gift Wrap," "Held for Stock"
- Internal handoffs: "Escalated to Returns," "Watch List"
Each tag has a name and a color, so once it's on an order it's immediately recognizable in your orders list.
Creating Your Tags
You can create up to 5 custom tags for your business. To create one:
- Go to the Orders page.
- Open the Tags dropdown.
- Click + Add new tag.
- Type a short name (up to 100 characters) and pick a color.
- Click Add Tag.
That's it — your new tag is now available everywhere orders live.
Applying Tags to Orders
You can tag orders one at a time or in bulk.
Single order: Open the order's details page, click Assign Tag, and choose a tag.
Multiple orders at once: From the Orders list, check the boxes next to the orders you want to tag, click the Tags button, and select the tag to apply. The tag is added to every selected order in one action — handy when a large batch of new orders all need the same flag.
To remove a tag, open the same menu and click it again to deselect it. Tags can be added and removed freely; nothing about the order itself changes when you tag or untag it.
Editing and Deleting Tags
Need to rename a tag or change its color? Open the Tags dropdown, click the edit icon next to the tag, and update the name or color. Your changes apply everywhere that tag is in use.
To delete a tag, click the delete icon. The tag is removed from every order it was attached to.
Seeing Tags at a Glance
Tags appear as colored blocks alongside your orders in the orders list, so you can scan a screen of orders and immediately spot the ones marked "VIP," "Needs Review," or whatever else you're tracking. On an individual order's details page, all attached tags are shown together.
Permissions
Anyone on your team with View Orders access can see the tags on each order. To create, edit, delete, or assign tags, a user needs the Edit Orders permission. This lets you give frontline staff visibility into how orders are flagged without letting everyone change your tag setup.
Tips for Getting the Most Out of Order Tags
- Keep names short. Tags display on a busy orders list — "VIP" reads better than "Very Important Customer."
- Use color intentionally. Reserve red for urgent flags, green for "ready," and so on. A consistent color system makes scanning faster.
- Don't try to tag everything. With 5 tags per business, focus on the few categories that actually change how you handle an order.
- Revisit your tags quarterly. Workflows change; your tags should too. Edit or delete tags that no longer reflect how your team works.
